About the role
At Instructure, we believe in the power of people to grow and succeed throughout their lives. Our goal is to amplify that power by creating intuitive products that simplify learning and personal development, facilitate meaningful relationships, and inspire people to go further in their education and careers.
We do this by giving smart, creative, passionate people opportunities to create awesome. And that's where you come in:
We're looking for a Finance Manager to own Adaptive Planning, our company planning platform. You'll be the primary administrator and subject matter expert, responsible for the models, integrations, security, and reporting that support our Annual Operating Plan (AOP), budget, and forecast cycles. You'll also support headcount planning and personnel cost forecasting.
You'll work with FP&A, Accounting, IT, and business partners to keep planning data accurate, turn business needs into scalable solutions, and cut manual work so the Finance team can spend more time on analysis.
What you will do
● Own Adaptive Planning administration. Serve as the primary admin and internal expert. Maintain and improve model architecture, including dimensions, levels, attributes, versions, sheets, formulas, and calculated accounts.
● Run the planning cycles. Manage AOP, budget, forecast, and actuals versions, including rollovers, planning calendars, and period locks, so each cycle runs on time and on clean data.
● Build and maintain integrations and data loads between Adaptive and source systems such as our ERP, HRIS, CRM, and data warehouse. Audit and reconcile the data so planning matches Accounting records.
● Manage security and access. Own user roles, permissions, and licenses, and keep access aligned with data privacy and internal control requirements.
● Build and maintain reporting. Create management reporting packages, dashboards, scorecards, and OfficeConnect reports that give leaders a clear view of plan, forecast, and actuals.
● Turn business requirements into scalable solutions. Work with FP&A leaders, Accounting, and IT to design, test, and deploy model changes under change management and testing procedures.
● Train and support users, including budget owners, business partners, and FP&A team members. Write and maintain documentation so teams can use the platform with confidence.
● Find ways to automate. Apply automation and AI-enabled tools to cut manual work and improve accuracy. Review new Adaptive features and recommend the ones worth adopting.
● Troubleshoot and escalate. Investigate system issues, fix what we can internally, and work with Workday support and outside consultants on the rest.
● Support the headcount and personnel cost forecast. Manage the company-wide headcount roll-forward from actuals through plan, including requisition-level detail, hiring assumptions, and all personnel cost lines such as salary, bonus, commission, benefits, taxes, and contractor spend.
● Lead headcount reconciliation and reporting. Reconcile headcount and cost across HRIS, payroll, ERP, and Adaptive at each close. Model scenarios for leadership, support the budget, forecasts, and long-range plan.
What you will need to know/have
● Bachelor's degree in Finance, Accounting, Information Systems, Business, or a related field, or equivalent experience
● 5+ years of Adaptive Planning administration and model-building experience, preferably at a SaaS or technology company
● Hands-on experience with Adaptive reporting tools, dashboards, and OfficeConnect
● Solid FP&A knowledge, including budgeting, forecasting, variance analysis, and management reporting
● Experience forecasting headcount and personnel costs, including working with HRIS and payroll data
● Experience building and troubleshooting integrations and data loads between Adaptive and ERP or other source systems
● Advanced skills in Excel or Google Sheets
● Ability to analyze large data sets, solve problems, and translate business needs into system and process solutions
● Clear communication skills, with the ability to work with Finance and non-Finance teams and manage multiple priorities in a fast-paced environment
● Comfort working independently, with strong attention to detail and data integrity
● Nice to have: Workday Adaptive Planning certification
