About the role

ABOUT ZOOMO

At Zoomo, our vision is to transition every commercial urban mile to light electric vehicles — to build cities that are quieter, cleaner and more equitable. We build the world's most durable utility e-bikes and the fleet software that keeps them on the road, and we service them through our own hubs.

Founded in Sydney in 2017, Zoomo now operates across Australia, the UK, Spain, France, Germany, Canada and the US, with a team of around 200 people from 45 nationalities. Our bikes and platform are the trusted fleet partner to major players in food, grocery and parcel delivery, including Uber Eats, DoorDash, Just Eat Takeaway, Deliveroo, Amazon, FedEx, Domino's, Pizza Hut, Glovo and Getir.

Expect to join a high-performing team that wants to lead the charge towards carbon-neutral cities — and a company that has gone from startup to multi-country operator faster than most. That transition is what this role is about.

THE ROLE

Madrid is our European hub, and this role keeps the place running — both the people and the office. You'll own the paperwork that makes employment work in Spain: contracts, registrations, personnel files. And you'll own the practical side nobody notices until it breaks: assets, insurance, suppliers, access, visas and a workshop that stays safe to work in.

You'll work with our gestoría, the Madrid hub team and the global People team.

Responsibilities

  • Employee support and HR administration: be the first person Zoomers ask — holidays, certificates, letters, benefits enrolment, policy questions — and keep personnel files accurate enough that nobody has to reconstruct them later.
  • Onboarding and offboarding: prepare the paperwork, equipment and accounts before day one, run the first-week logistics, and close exits properly with assets returned and access removed.
  • Company assets and insurance: keep the asset register (laptops, phones, tools, e-bikes) matching reality, track issuance and recovery, and manage our insurance policies and renewals with our broker — fleet, liability and travel cover.
  • Office and facilities: manage suppliers, supplies, maintenance and access for the Madrid hub, and work with our external prevention service on health and safety basics.
  • Visa and mobility support: work with our immigration advisers to collect documents, track deadlines and renewals, and support employees relocating between our markets — you coordinate the case; the advice and the decision stay with our advisers and the business.
  • HR process support: support payroll with the data it needs, keep working-time and leave records straight, and pull documentation together for audits and reporting.

Requirements

Must have

  • 2+ years in HR administration, office management or a similar support role in Spain
  • Hands-on with Spanish employment paperwork: contracts, Social Security registrations, personnel files
  • Fluent Spanish and English, written and spoken
  • Comfort dealing with a gestoría and public portals (SEPE, Seguridad Social)
  • Organised across many small tasks with different deadlines — asset lists, renewals, documents
  • Discretion with confidential employee data

Nice to have

  • Visa, work-permit or relocation coordination
  • Insurance policy management or broker liaison
  • Office, facilities or vendor management
  • Asset management tooling, or a register you built yourself
  • Experience in a scale-up or high-growth company
  • PRL basics, or coordination with a servicio de prevención ajeno

Benefits

  • Salary — €32,000 – €36,000 base, depending on experience
  • Zoomo e-bike - an employee bike to live and breathe the brand, plus a serious staff discount
  • Wellbeing - free, unlimited access to online mental health and wellbeing support
  • Flexibility - hybrid working, part-time flexibility where the role allows, and two weeks a year to work from anywhere
  • Social - regular events run by our Joy Division — pub nights, team drinks, wellness initiatives and more

Zoomers currently represent 45 nationalities and we celebrate diversity and inclusion with equal opportunities for all. If you need an adjustment at any stage of the process, tell us — we'll make it work.
