About the role

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Manager, Supply Planning and Logistics based in the United States.

The Manager, Supply Planning and Logistics will oversee day-to-day inventory management, supply chain coordination, and domestic and international logistics operations within the pharmaceutical and biotechnology industry. This hands-on role is essential to ensuring product availability, inventory accuracy, and reliable, compliant delivery across a network of external manufacturing, warehousing, and logistics partners. You will manage inventory controls, shipment execution, purchasing activities, and operational reporting while proactively identifying risks and resolving discrepancies. Working closely with internal teams and external partners, you will help maintain supply continuity, strengthen operational processes, and ensure accurate documentation and traceability. The role offers an opportunity to make a meaningful contribution to commercial pharmaceutical operations while supporting clinical supply activities as needed. You will thrive in a collaborative, fast-paced, and evolving environment that values accountability, initiative, continuous improvement, and responsible use of technology.

Accountabilities:

  • Inventory management and control: Maintain accurate, end-to-end inventory visibility across products, materials, and external storage locations, including inventory balances, status, movements, and traceability. Conduct regular reconciliations across internal systems, contract manufacturing and development organizations (CMOs/CDMOs), warehouses, and third-party logistics providers (3PLs), investigating and resolving discrepancies independently.
  • Inventory monitoring and risk management: Track stock levels, product status, expiry dates, and projected supply requirements to identify potential shortages, excess inventory, and other operational risks. Coordinate corrective actions with relevant stakeholders and maintain accurate records of receipts, transfers, allocations, shipments, and adjustments.
  • Sample management: Coordinate sample requests from identification and availability verification through allocation, shipment, and final inventory traceability, ensuring all activities are documented accurately.
  • Domestic and international logistics: Manage shipments end to end, from initiation and planning through delivery confirmation and documentation closure. Coordinate shipment schedules, material readiness, transportation arrangements, and required approvals with internal teams and external partners.
  • Shipping documentation and compliance: Prepare, review, and verify commercial invoices, packing lists, customs documentation, and applicable import/export records. Maintain complete, accurate, and traceable shipment records to support regulatory compliance, documentation retention, and audit readiness.
  • External logistics coordination: Serve as the primary operational contact for freight forwarders, customs brokers, warehouses, transportation providers, and other logistics partners. Monitor shipment progress, resolve delays and exceptions, and maintain clear communication with relevant stakeholders.
  • Process improvement and quality support: Develop, implement, and maintain standardized shipping procedures, inventory controls, checklists, and operational processes. Collaborate with Quality, Manufacturing, Finance, and external partners to investigate discrepancies, support deviations and corrective actions, and strengthen operational consistency.
  • Purchase order management: Create and process purchase orders in accordance with approved supply plans, contractual obligations, and internal approval procedures. Track open orders and delivery commitments, follow up with suppliers, and support timely execution.
  • Financial and purchasing coordination: Partner with Finance and external suppliers to reconcile invoices, support three-way matching, resolve purchasing discrepancies, and maintain complete purchasing documentation.
  • Reporting and stakeholder support: Prepare routine inventory and supply reports covering stock on hand, projected coverage, inventory status, open orders, and shipment progress. Maintain dashboards and key performance indicators (KPIs) to highlight risks, exceptions, and priorities, serving as a reliable source of information for cross-functional supply coordination.
  • Cross-functional collaboration: Work closely with internal stakeholders and external partners to support commercial supply chain operations and, when needed, clinical supply activities. Use digital and AI-enabled tools responsibly to improve research, analysis, and operational efficiency while safeguarding confidential information and maintaining compliance.
  • Requirements:

  • Education: Bachelor's degree in Supply Chain Management, Engineering, Science, Business, or a related discipline.
  • Industry experience: At least five years of progressively responsible supply chain experience in the pharmaceutical or biotechnology industry, with hands-on responsibility for inventory management, logistics, and operational execution.
  • Inventory management expertise: Demonstrated experience maintaining inventory records, performing reconciliations, tracking inventory movements, and implementing controls across multiple storage locations and external partners.
  • Logistics and shipment execution: Proven experience coordinating domestic and international shipments, preparing and verifying shipping documentation, working with customs processes, and resolving transportation and delivery issues.
  • Pharmaceutical compliance knowledge: Working knowledge of pharmaceutical supply chain requirements, including inventory traceability, controlled documentation, and applicable Good Practice (GxP) considerations.
  • External partner management: Experience collaborating with CMOs/CDMOs, 3PLs, freight forwarders, customs brokers, warehouses, and other supply chain service providers.
  • Purchasing and financial processes: Familiarity with purchase order creation and management, supplier follow-ups, invoice reconciliation, and three-way matching.
  • Systems and analytical skills: Experience using enterprise resource planning (ERP), material requirements planning (MRP), or inventory management systems, combined with strong Microsoft Excel skills for data analysis, reconciliation, tracking, and reporting.
  • Preferred qualifications: Experience supporting commercial pharmaceutical supply chain operations is preferred, while clinical supply experience is an advantage. APICS/ASCM certification, such as Certified in Planning and Inventory Management (CPIM) or Certified Supply Chain Professional (CSCP), is also preferred.
  • Communication and collaboration: Strong written, verbal, and interpersonal communication skills, with the ability to build productive relationships, share information transparently, and work effectively across teams and external organizations.
  • Ownership and initiative: A proactive, self-directed approach to managing priorities, deadlines, and deliverables, with the ability to anticipate challenges, identify issues early, and drive tasks through completion with minimal supervision.
  • Problem-solving and adaptability: Resourcefulness, sound judgment, and the ability to resolve operational challenges creatively while adapting to changing priorities and working effectively with limited resources.
  • Continuous improvement mindset: A commitment to process standardization, operational accuracy, accountability, and collaboration in a fast-paced and evolving environment.
  • Digital proficiency: Willingness to use AI and other digital tools to streamline research and analysis while ensuring accuracy, confidentiality, compliance, and responsible use.
  • Work location and travel: Ability to work remotely within the United States, attend periodic in-person meetings at offices in the Philadelphia or Boston areas as business needs require, and travel for internal meetings and relevant company or industry events. Candidates based in the Northeastern United States are preferred.
