Company Description

Integrated Dermatology is a leading national dermatology practice that acquires and partners with dermatology practices across the United States. The culture at ID is a reflection of its people. Our environment is filled with hard-working, dynamic individuals who come together to ensure the success of our partner dermatologists.

The Accounts Payable Director will lead the accounts payable, vendor payment, and travel & expense functions for a rapidly growing, multi-state, multi-entity healthcare organization operating under a managed services organization (MSO) structure. This leader will develop and operate a highly scalable, automated, and controlled procure-to-pay environment supporting physician practices and management company entities across the United States.

This is a hands-on leadership role requiring an individual who can develop strategy while operating within the details of the function. The successful candidate will build and develop the AP team, establish policies and standard operating procedures, optimize Coupa and Coupa Pay, strengthen internal controls, and continuously identify opportunities to automate processes and increase transaction capacity without proportionately increasing headcount.

The role owns the vendor payment lifecycle, including payment onboarding, validation and maintenance of banking and remittance information, payment-method setup, and payment readiness. Procurement retains responsibility for vendor sourcing, contracting, commercial terms, and overall vendor relationship management.

The leader will also own the AP integration playbook for newly acquired practices and oversee the Company’s T&E program, including corporate cards, expense policy, spend controls, and practice/department budgets within a modern spend-management platform.

Job Description

AP Operations, Automation & Scalability

•  Own the end-to-end invoice-to-pay and payment lifecycle across legal entities, physician practices, and locations.

•  Serve as functional owner and subject-matter expert for Coupa/Coupa Pay, including invoice workflows, approval routing, supplier enablement, payment configuration, and settlement processes.

•  Develop a highly automated AP operating model using PO-based purchasing, EDI/e-invoicing, OCR, supplier portals, automated matching, and exception-based processing.

•  Establish measurable automation, productivity, service-level, and transaction-capacity targets; continually redesign processes to scale without corresponding increases in headcount.

•  Design and maintain structured 2-way and 3-way matching, approval workflows, and exception management.

Vendor Payment Onboarding & Master Data

•  Own the financial/payment component of vendor onboarding following Procurement approval, including W-9s, banking instructions, remittance information, and required payment documentation.

•  Establish and maintain the appropriate payment method for each supplier, prioritizing virtual card and ACH where appropriate and using checks by exception.

•  Maintain strong vendor-master controls, including segregation of duties, independent validation of banking changes, duplicate-vendor controls, and fraud-prevention procedures.

•  Partner with Treasury on payment runs, cash requirements, positive pay, ACH controls, settlement, stale checks, and payment optimization.

Acquisition & Practice Integration

•  Own and maintain a standardized AP integration playbook for acquisitions and newly integrated practices.

•  Lead pre-close and post-close AP readiness, including vendor inventories, outstanding invoices/liabilities, recurring payments, open POs, approval authorities, payment methods, banking information, and legacy AP processes.

•  Establish vendors and payment workflows within Coupa and the appropriate legal entity/TIN and ensure appropriate cutoff between seller obligations and post-close obligations.

•  Develop Day 1, 30-day, 60-day, and 90-day AP integration milestones; proactively communicate risks, decisions, dependencies, and outstanding items to stakeholders.

T&E, Corporate Cards & Spend Management

•  Own administration and enforcement of the Company’s T&E and corporate card policies.

•  Administer cardholder onboarding/offboarding, credit limits, merchant controls, receipt compliance, policy exceptions, and unusual-transaction review.

•  Configure and maintain 50+ practice, regional, departmental, and/or functional spend budgets using a platform such as Ramp, BILL/Divvy, or similar.

•  Provide Operations and Finance leaders with timely visibility into controllable spend, budget utilization, policy exceptions, and out-of-budget activity.

Controls, Policies & Procedures

•  Develop and maintain comprehensive AP, vendor payment, and T&E policies, SOPs, desk procedures, approval matrices, and control documentation.

•  Design and enforce segregation of duties, delegated authority, duplicate-payment controls, vendor-master controls, banking-change verification, and fraud-prevention controls.

•  Support internal and external audits and maintain a strong control environment appropriate for a growing, PE-backed organization.

Accounting Accuracy & Close

•  Ensure appropriate GL coding across entities, practices, departments, and cost centers and partner with Accounting on month-end cutoff and accrual accuracy.

•  Support month-end close including AP accruals, GRNI/unreceived goods, open invoices, recurring expenses, unapplied credits, stale checks, and vendor statement reconciliations.

•  Maintain W-9 compliance and support accurate 1099 preparation and reporting.

Team Leadership

•  Build, lead, train, and develop a high-performing AP organization with clear roles, accountability, cross-training, and career development.

•  Establish KPIs for productivity, invoice cycle time, first-pass match rates, exception rates, payment timeliness, vendor onboarding, automation, accuracy, and service levels.

•  Remain hands-on in Coupa and operational processes when necessary; this role is expected to solve problems directly, not function solely as a people manager.

Cross-Functional Partnership & Problem Solving

•  Serve as the primary AP business partner to Accounting, Procurement, Treasury, Operations, Integration, and practice leadership.

•  Proactively communicate issues, implementation risks, process changes, deadlines, and decisions to stakeholders.

•  Investigate recurring operational problems, identify root causes, and present practical, actionable solutions rather than simply escalating issues.

•  Partner with Procurement to increase PO adoption while maintaining clear accountability between commercial vendor management and AP payment administration.

Qualifications

• 8–10+ years of progressive Accounts Payable/P2P experience, including 4+ years leading teams in a complex, high-volume environment.

•  Demonstrated experience supporting a multi-entity, multi-location organization required.

•  Hands-on enterprise P2P/AP system experience required. Coupa/Coupa Pay strongly preferred; SAP Ariba, Oracle, or comparable enterprise-scale platforms acceptable.

•  Experience must include workflow configuration/optimization, supplier enablement, payment methods, approval workflows, and process improvement—not solely end-user processing.

•  Demonstrated experience designing and implementing AP automation and scalable operating models, with measurable improvement in efficiency or transaction capacity.

•  Experience managing supplier payment onboarding, ACH/banking information, virtual cards, checks, vendor-master controls, and payment fraud prevention.

•  Experience administering a corporate card/T&E program and spend/budget management platform such as Ramp, BILL/Divvy, or comparable system.

•  Experience developing AP policies, SOPs, approval matrices, internal controls, and KPI reporting.

•  Experience integrating acquisitions, new locations, or business units into a centralized AP/P2P environment strongly preferred.

•  Strong analytical, root-cause problem-solving, written communication, and stakeholder-management skills.

•  Healthcare, physician practice management, MSO, or other highly decentralized/multi-site industry experience preferred.

•  NetSuite experience preferred; advanced Excel skills required.
