Executive Assistant
- Remote
About the role
RYZ Labs is looking for a highly skilled Executive Assistant to join one of our clients’ teams. In this role, you will act as the Swiss Army knife and operational backbone behind a serial founder and executive sitting across three AI/automation companies and a busy personal life. Working with chief-of-staff instincts, you will manage both enterprise-level operations and personal logistics, seeing problems before they arise and owning outcomes from day one.
Qualifications:
• 3+ years supporting a founder, CEO, or high-growth startup executive, ideally in a fast-paced or multi-entity setup
• Exceptional written and spoken English with the ability to mirror the founder's voice seamlessly across executive communications
• High EQ and absolute discretion with non-negotiable confidentiality across sensitive legal, business, and personal matters
• Fluent across modern digital workspaces — Google Workspace, Slack, Notion, Linear, expense platforms, and concierge/travel tools — with active use of AI assistants to streamline workflows
• Available during US Eastern Time (ET) business hours, paired with high responsiveness for urgent off-hours needs (e.g., travel or time-sensitive asks)
• Proactive problem solver who builds clear approval systems, onboards quickly onto new software, and executes without waiting for instructions
Key Responsibilities:
• Own complex calendar operations across three separate business entities and personal schedules, eliminating conflicts and managing heavy multi-tool coordination
• Take charge of inbox triage across email and Slack, drafting responses, prioritizing urgent items, and communicating directly as the founder where authorized
• Drive meeting preparation and follow-through — compiling briefs beforehand, tracking action items after calls, and holding stakeholders accountable to commitments
• Coordinate key business logistics across board members, leadership, enterprise customers, recruitment candidates, and external legal, HR, and finance partners
• Manage end-to-end travel logistics for domestic, international, and multi-city itineraries, handling flights, accommodations, dining, and custom experiences
• Partner with concierge services and external vendors to conduct research, negotiate favorable pricing, and oversee executive reservations and gifts
• Oversee day-to-day personal administration, including household vendors, appointments, and support for family and close team members
• Establish and refine operational workflows and decision-making chains that systematically remove executive drag and allow the founder to focus on core ventures
