Deployment Planner
About the role
Position Overview
The Deployment Planner and Purchasing role sits within the Deployment team. It keeps inventory, warehouse stock and materials ready for confirmed sales orders and deployment schedules, and it owns the purchasing process end to end.
This role plans inventory and purchasing from signed quotations and actual project timelines, not long-term or speculative forecasts. The goal is for materials to be received, stored, prepared and available at the right time and place, without overstock, dead stock, or urgent premium-cost purchases.
The role is hands-on with the warehouse. You’ll know what’s on the shelf, where it is, what condition it’s in, and what it’s committed to. You’ll also balance operational readiness against cash flow and working capital.
You’ll work closely with Sales, Deployment, Finance, and external vendors. Most of the work runs on structured data in Airtable, our central system for inventory and project tracking.
Key Responsibilities
A. Inventory & Deployment Planning
- Review the sales and deployment pipeline to anticipate upcoming inventory and purchasing needs.
- Turn confirmed sales orders, signed quotations and deployment schedules into clear inventory, kitting and purchasing plans.
- Time purchases and stock allocation to actual project execution, so materials are ready when needed but not bought too early.
- Assess and communicate the cash flow impact of early purchasing, delayed purchasing or excess stock.
- Track actual material consumption against planned usage, and flag gaps or risks early.
B. Warehouse Operations & Inventory Control
- Oversee day-to-day warehouse stock control: receiving, inspection, putaway, storage, picking, packing and dispatch.
- Keep inventory records accurate across all locations, including warehouse, storage units and in-transit stock.
- Set up and maintain a clear location and labeling system so every item can be found quickly and traced to its project or client.
- Plan and run regular cycle counts and full physical stock takes, investigate discrepancies, and fix root causes.
- Prepare and kit materials ahead of scheduled deployments, so field teams receive complete, checked sets.
- Manage returns, damaged goods, and reusable or surplus stock coming back from sites.
- Define and manage reorder points, minimum stock levels and buffer stock where needed.
- Monitor inventory turnover, stock aging, slow-moving items and excess stock, and recommend practical actions to reduce dead stock and holding costs.
- Make sure storage practices protect stock condition, including FIFO, safe handling and proper storage of sensitive hardware.
C. Purchasing & Vendor Management
- Own the end-to-end purchasing process: raising purchase orders, confirming pricing and lead times, and tracking orders through to delivery and receipt.
- Source and compare vendor quotations for competitive pricing, quality and reliable lead times.
- Build and maintain vendor and supplier relationships across multiple markets, and negotiate terms where appropriate.
- Coordinate with vendors on order status, delays and discrepancies, and escalate issues that could affect deployment schedules.
- Keep accurate purchasing records (POs, quotations, invoices, delivery notes) in Airtable and other internal systems.
D. Logistics Coordination
- Track inbound and outbound shipments so purchased materials reach the right location on time.
- Coordinate deliveries between vendors, the warehouse and project sites.
- Identify and help resolve logistics bottlenecks that could delay deployment timelines.
E. Data, Reporting & Process Improvement
- Collect, organize and maintain inventory, warehouse, purchasing and deployment data in Airtable, our system of record.
- Build and maintain reports and dashboards covering:
- stock levels, turnover and aging
- PO status and vendor lead times
- deployment pipeline and material availability
- Analyze historical and current data to find ways to improve purchasing timing, warehouse efficiency and inventory accuracy.
- Turn findings into clear, actionable recommendations for Sales, Deployment and Finance.
- Document, improve and standardize warehouse and purchasing workflows and SOPs.
- Support ad hoc data and reporting requests from cross-functional teams.
F. Cross-Functional Alignment
- Work with Sales on order timing, customer commitments and deployment expectations.
- Work with Finance on cash flow planning, payment terms and cost tracking for purchasing and inventory.
- Work with ConnectIQ (Giant Pumpkin’s internal development platform) to build the best data and process solutions for customer-facing and internal needs.
- Communicate proactively about inventory status, purchasing timelines and risks to deployment schedules.
