We want someone passionate about structural engineering and problem-solving.
We are seeking a motivated, detail-oriented Project Administration Intern to support our technical team. This role is designed for someone who is organized, curious, dependable, and eager to learn how engineering projects are planned, tracked, and supported. The intern will work closely with the Project Administrator, Project Managers, and technical staff to help with repeatable project coordination tasks, data organization, documentation, meeting support, and routine reporting. This position will play an important support role in helping project teams stay organized, communicate clearly, and keep project information current.
What You'll Be Doing:
- Project Coordination Support: Assist the Project Administrator or Project Managers with day-to-day tracking for multiple engineering projects, including maintaining task lists, updating project tracking tools, organizing project folders, and following up on routine action items. Help track project onboarding items, training requirements, site access needs, deliverable lists, and assigned project roles under the direction of the Project Administrator or Project Manager. Handle project, client, budget, and contract-related information with appropriate care and discretion.
- Planning and Scheduling Support: Assist with maintaining project schedules, work plans, internal deadlines, and deliverable calendars. Help compare current project information against planned milestones and flag missing, outdated, incomplete, or inconsistent information for follow-up.
- Portfolio Organization: Support organization across multiple active projects by maintaining shared tracking tools, project lists, reference materials, and recurring reporting tools. Learn how project priorities, client needs, and internal deadlines are balanced across a portfolio of work. Manage shifting priorities while staying organized, communicating clearly with stakeholders, and approaching challenges with persistence, curiosity, and follow-through.
- Budget and Schedule Tracking Support: Assist with updating project budget and schedule tracking tools and related project records, helping identify missing or inconsistent data. The intern may help prepare routine summaries or status updates for review by the Project Administrator or Project Manager.
- Data Management and Excel Support: Use Excel to organize project data, maintain trackers, clean up spreadsheets, perform basic checks, and support routine reporting. A strong working knowledge of Excel is expected, including comfort with formulas, filters, sorting, formatting, and basic charts or summaries. Interest in learning more advanced Excel tools, such as pivot tables, Power Query, Power Pivot, or macros, is strongly preferred.
- Administrative Support, Documentation, and Meeting Support: Assist with meeting scheduling, preparation, agenda notes, minutes, action item tracking, project documentation, and status updates. Take clear notes during project meetings and client meetings, prepare and distribute meeting notes, and help track action items through completion. Help keep folders, references, and project records organized and current.
- Communication Support: Communicate clearly and professionally with project team members and, as appropriate, clients to request information, confirm details, and follow up on routine items under supervision. This role requires someone who is comfortable asking questions, taking direction, documenting answers, and following up when information is incomplete or unclear.
- Process Improvement: Help identify repeatable tasks that can be clarified, simplified, or better documented. Contribute to checklists, templates, tracking tools, and other practical tools that improve consistency and reduce rework.
- Professional Skills and Personal Qualities: Demonstrate strong communication, organization, curiosity, reliability, and follow-through. The ideal intern will be comfortable asking questions, learning new tools, taking initiative on assigned tasks, and persisting respectfully when information is needed. A positive attitude, strong attention to detail, willingness to learn, and tenacity are important for success in this role.
What You'll Need:
- A technical background is preferred, including coursework, internship experience, or early career experience in structural, civil, mechanical, or another engineering discipline; hard sciences or construction management may also be considered.
- Candidates should have strong Excel skills, an interest in project controls or project management, and a willingness to learn tools such as Microsoft Project.
- Prior experience in an administrative, project coordination, or project controls support role is helpful but not required.
- Candidates are not required to perform technical work, but opportunities to support both administrative and technical activities may be available for those interested in doing both. This internship may also provide a path toward a longer-term or permanent role for the right candidate.
Benefits Overview:
Full-time temporary employees are eligible for medical insurance, paid holidays and sick leave. Part-time temporary employees are eligible for sick leave.
Compensation:
This compensation range is a good faith estimate pursuant to applicable equal pay and pay transparency laws.
